Privacy & Data Protection

What we collect, why we need it, how long we keep it and what you can ask us to do about it.

What we collect

  • Booking details: your name, phone number, email address, pickup and destination addresses, journey date and time, passenger and luggage numbers, and flight or ship details where relevant.
  • Payment information: processed by our payment provider. We do not store full card numbers on our systems.
  • Contact form messages: the name, email, phone number and message you send us.
  • Website usage data: anonymous analytics about how the site is used, collected only if you accept cookies.

Why we use it (lawful basis)

We use booking data to perform the contract you enter into when you book a journey — without it we cannot allocate a driver, find your address or contact you about the pickup. We use flight numbers only to track arrival times so your driver is there when you land.

We use contact form data on the basis of legitimate interests, to answer your enquiry. We keep records of completed journeys and invoices to meet our legal obligations, including tax and licensing requirements. Analytics cookies are used only with your consent, which you give or withhold in the cookie banner and can change at any time.

Who we share it with

Only where necessary: the driver allocated to your journey; our booking and dispatch system provider; our payment provider; and, for account customers, the organisation being invoiced. If you are travelling on an arrangement made by a school, employer or funded scheme such as Access to Work, we share only what that arrangement requires.

We do not sell your data, and we do not share it for third-party marketing.

Cookies and analytics

The site uses a cookie banner. If you reject cookies, no analytics or third-party tracking scripts are loaded at all — only the essential functionality needed to run the site and the booking system. If you accept, we load Google Tag Manager and Google Analytics to understand how the site is used in aggregate.

Our contact form is protected by Google reCAPTCHA, which is subject to Google’s own privacy policy and terms of service.

How long we keep it

Booking and journey records are kept for as long as needed to run the service and to meet accounting, tax and licensing obligations — generally six years for financial records. Contact form enquiries that do not become bookings are kept only as long as needed to deal with them. Analytics data is retained according to the settings in our analytics account.

Your rights

  • Ask for a copy of the personal data we hold about you.
  • Ask us to correct anything that is wrong or incomplete.
  • Ask us to delete data we no longer have a lawful reason to keep.
  • Object to, or ask us to restrict, certain uses of your data.
  • Withdraw consent for cookies and analytics at any time.
  • Ask for your data in a portable format.

To exercise any of these, email [email protected] — we will respond within one month. If you are unhappy with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk.

Security

The site runs over HTTPS, access to booking data is limited to the people who need it to run journeys, and our booking system is operated under its provider’s security arrangements. No system is perfect, but we take this seriously and will tell you promptly if anything material goes wrong.
